Here's all the help you need to use Jane.


Family Profiles - Managing Family Members (For Patients)

Family members can book appointments on behalf of each other through a single profile (try to contain your excitement)!

To put it plainly, you can book individual appointments for your whole family from your account.

Here’s how you can do it in Jane.

How to set up family members

1) When creating a profile online

When you create a profile at a clinic, Jane will ask if you would like to add other family member profiles to this account.

If you don’t see the option to add family profiles, it just means that the clinic has not enabled this setting in which case you can contact your clinic and have them add the related profiles administratively.

If the answer is yes, Jane will then ask for the family member’s relationship to you, as well as the family member’s first name, last name, and email.

Please note that the first and last names and the email are mandatory.

💡 Jane tip: You’ll see a checkbox labelled, “I would like to give permission for this family member to bill their payments to my account”. Checking this box means that the family member or related profile can use any credit cards you have saved on your profile to pay for their sessions. This also applies to credit cards you save to your account in the future.

If you would like to add more profiles, you can click the Add Another Family Member button.

Once you’ve added all of your family members, you can press Continue to start booking some appointments for the family.

2) Through the My Account Page / Patient Portal

If you already have an account and would like to add some family members to your profile, you can do so by logging in to the online booking site and then heading to your My Account page.

From your My Account area, you can click on the Family Members tab.

📝 Please note that you can only access your Family Members tab through your My Account portal if your clinic has enabled this in their settings. If you don’t see your Family Members tab, then you can edit your relationships by contacting your clinic, or using the link in the email notification you received when the relationship was first set up.

In the Family Members tab, you’ll see anyone who has been added as a relationship to your profile.

If you want to remove this relationship, just click the Remove button on the right.

You can also change the permissions that are shared between your profiles by clicking Edit Permissions.

❗Heads up — if you take away a permission for either you or your family member, you’ll need to contact the clinic to have this re-enabled.

Here, you can update both the permissions that your family members have on their profile, as well as the permissions that they’ve given you on theirs.

What permissions can be shared with your family member?

You can grant different permissions to your family members:

1) Allow family members to bill you for their appointments. This also means that the family member or related profile can use any of your saved credit cards to pay for their sessions. This applies to credit cards you save to your account in the future.

2) Share a copy of your receipts, statements, and financial emails.

3) Share a copy of your email notifications and reminders.

4) Manage your online bookings and add wait list requests

5) Publish your appointments for your family member’s calendar subscriptions.

6) Fill out and view your intake forms they have completed on your behalf, as well as view and update your contact and profile information.

📣 Jane tip: Allowing a related profile to manage your bookings and intake forms means that they can book new appointments and complete new intake forms for you, as well as access your appointment history and any intake forms they completed on your behalf.

You can also remove permissions granted to yourself from your family members.

If you choose to remove the permissions and want them reinstated after, you will need to contact your clinic in order to protect the privacy and data of all patients.

Please note that allowing a family member to use payment methods on file will apply to all current and future payment methods added to the granting patient’s profile.

Additional Notes

Can I use a shared email for all the related profiles?

Yes - however the recommendation here would be to have unique usernames (i.e. bob.smith or linda.smith) for each of the related profiles. This way Jane knows which profile you’re logging into and a great way to avoid getting stuck in a loop of logging into the wrong profile. A staff member from the clinic you attend can send a Password Reset email to each of the related profiles so they can set their usernames

Alternatively, if you or a family member can login to the My Account Portal, you can click on Username / Password within the left sidebar menu and update the username here:
